Microsoft runs the service. Protecting your data is your job.
Microsoft is responsible for the availability of Microsoft 365. Under its shared responsibility model, your organisation remains responsible for its own data: who can access it, how long it is kept and whether it can be recovered.
Microsoft's retention and recycle bin features help, but they are not an independent backup. Once retention windows pass, deleted or overwritten content can be gone for good. A compromised admin account, ransomware syncing through OneDrive or a misconfigured retention policy can affect the very data you rely on Microsoft to keep.

FAQ
Microsoft 365 backup questions
Does Microsoft back up Office 365 data?
Microsoft protects its infrastructure and offers retention features such as the recycle bin and retention policies. These are not an independent backup under your control, and once retention windows pass, deleted data may not be recoverable.
How do you back up Office 365 mailboxes?
A dedicated backup platform connects to Exchange Online through Microsoft's APIs and copies mailboxes, calendars and contacts on a schedule. You can then restore a single email, a folder or a whole mailbox, to the original user or another mailbox.
Can SharePoint and Teams be backed up too?
Yes. We back up SharePoint sites, libraries and lists, and Teams channels, conversations and files, alongside Exchange Online and OneDrive.
Where is our Microsoft 365 backup data stored?
It depends on the platform and design. Backup copies can be stored in a chosen cloud region or on infrastructure you control. We review your UAE or GCC data residency requirements before recommending a design.
What is the difference between retention policies and backup?
Retention policies decide how long Microsoft keeps content inside your tenant. Backup keeps a separate copy outside the tenant that you can restore from even if content inside the tenant is deleted, encrypted or changed.
Will Microsoft 365 backup protect us from ransomware?
It is an important layer. If ransomware encrypts files and the changes sync to OneDrive or SharePoint, you can restore clean versions from a point in time before the attack.
Do we still need archiving if we have backup?
If you have long-term retention, journaling or eDiscovery requirements, usually yes. Backup is built for fast recovery; archiving is built for retention and search. See Enterprise Vault and Microsoft 365.
