Ongoing operations for your Enterprise Vault estate
Enterprise Vault needs attention after implementation and after every major change. Archiving tasks, queues, indexing, storage, retrieval, SQL dependencies and backups all contribute to the service users experience. A platform can appear available while journal processing is delayed or recent items are missing from searches.
Managed operations provide a defined way to detect these conditions, investigate them and follow the work through to resolution. We agree who reviews alerts, who approves corrective changes, which dependencies need another team and how progress is reported. Your organization retains application ownership and control of business and compliance decisions.
This service is useful when you want to retain Enterprise Vault while improving day-to-day administration, cover a specialist staffing gap, stabilize an estate after an upgrade, or reduce repeated incidents. The initial baseline identifies existing problems and helps separate routine operations from remediation projects.

Service coverage
The following activities form the service scope discussion. The signed agreement defines which are included, their frequency and the approval required. Enabled workloads and the installed Enterprise Vault release determine the checks that apply.
Monitoring and alerts
Review system status, service health, relevant events and alert delivery; tune thresholds and assign an action owner.
Archiving tasks and MSMQ
Review task execution, journal processing, queue trends and backlogs; investigate sustained delays and failed processing.
Indexes and search
Review indexing progress and failed or offline conditions; test representative retrieval and search paths.
Administration
Perform approved archive, provisioning, permissions, schedule and configuration changes; keep the change record current.
Storage and capacity
Track Vault Store, partition and index growth; review headroom, storage warnings and capacity actions.
SQL and platform coordination
Review relevant database and infrastructure indicators with the DBA, Windows, Exchange and storage teams.
Backup and recovery checks
Review backup evidence, backup-mode transitions and unresolved protection issues; coordinate recovery validation when included.
Maintenance and planning
Review patches, compatibility, upgrade readiness, reporting, open risks and the next approved improvement actions.
Monitoring checks need to reflect the workload. We correlate alerts and trends with actual archiving, retrieval and search behavior. Thresholds, sampling, integrations and review frequency are agreed during onboarding, including the process for an alert that cannot be collected or delivered.

Onboarding and operational baseline
We begin by documenting the Enterprise Vault estate and how it is currently operated. The inventory covers sites, servers, versions, workloads, Vault Stores, indexes, SQL dependencies, integrations, backups and recovery arrangements. An initial health check identifies urgent risks and the work needed before routine service acceptance.

The onboarding record distinguishes inherited issues from new incidents. Remediation that needs a larger change, additional licensing or another supplier is scoped separately where required. This gives both teams a clear starting point and avoids treating unresolved technical debt as an unexplained service failure.

Incident response and vendor escalation
Virtech investigates Enterprise Vault incidents using the symptom, business impact, relevant logs, task and queue behavior, recent changes and platform evidence. We coordinate with the customer’s infrastructure owners when Exchange, SQL, storage, networking or another dependency contributes to the fault. Corrective changes follow the agreed authorization process.
Across approximately 1,000 Enterprise Vault support cases over five years, Virtech resolved at least 95% internally without opening a case with vendor support or engineering. This historical measure reflects specialist troubleshooting capability; individual incidents can still require vendor investigation.
When evidence points to a serious product defect or a fix that requires vendor engineering, we prepare the relevant diagnostic information and coordinate escalation through the applicable support entitlement. Workarounds, change approvals, communications and follow-up ownership are documented as the case progresses.

Service levels and coverage
24/7 Enterprise Vault support is available under eligible Virtech support agreements. The agreement defines covered severities, monitoring and incident channels, routine administration hours, update frequency and escalation contacts. Round-the-clock incident support does not automatically mean every administration or project activity is available at any hour.
P1 initial response
Target within 30 minutes for P1 incidents covered by the applicable support agreement.
P1 UAE onsite attendance
Target within two hours across the UAE for covered P1 incidents, subject to contractual conditions and customer site access.
Onsite and remote delivery
UAE onsite support and GCC remote support are available; the engagement defines when each is used.
Other severities and activities
Response, updates, routine work and planned changes follow the relevant service agreement.
An initial response starts the incident engagement; it is not a promise that the fault will be resolved within 30 minutes. Onsite attendance is likewise a target for dispatch and attendance, not a universal restoration time. P1 classification and business impact are confirmed against the agreement.

Reporting and continual improvement
Reporting should help your team decide what needs attention. We agree the measures, audience and review cadence at onboarding. A service summary can cover incidents, recurring causes, queue and indexing trends, archiving backlogs, storage growth, backup exceptions, approved changes and open risks. Each improvement action should have an owner and a next decision.
Monthly reporting and periodic service reviews can be incorporated into the agreement. Reviews connect operational findings to maintenance, capacity, training and lifecycle priorities. Real-time dashboards and specific reporting integrations are defined where available and agreed, so reporting commitments match the actual data sources.
Virtech delivers bespoke Enterprise Vault report configurations, custom EV buttons and internal reporting tools that can be shared with customers where appropriate. These can address a reporting or administration requirement identified during the service review. Deployment is assessed for confidentiality, security, permissions, compatibility and ongoing maintenance, with ownership documented before use.

Backup recovery and lifecycle coordination
Backup completion, Enterprise Vault backup mode and recovery readiness need coordinated checks. The service can include review of backup evidence and investigation of a backup-mode state that does not return as expected. Backup job operation, restore exercises and disaster-recovery testing are assigned explicitly to Virtech, the customer or another supplier in the agreed scope.
Monitoring evidence supports recovery planning, but a restore or disaster-recovery exercise is needed to validate the agreed recovery procedure. We record dependencies, remaining risks and actions rather than treating an alert-free dashboard as proof of recoverability.
Lifecycle reviews address release supportability, compatibility, platform dependencies and upgrade readiness. Enterprise Vault upgrades, migrations, major architecture changes and recovery exercises are scheduled and costed according to the agreement. Where an annual upgrade allowance is included, the supported route, readiness work, change window and acceptance criteria still need approval.

Virtech also provides a high-touch local alternative to the type of Enterprise Vault support historically delivered through Veritas Business Critical Services. Coverage is defined in the Virtech agreement, with vendor support and engineering used where required. The service comparison should be assessed against the customer’s actual entitlements and operational needs.

Customer responsibilities and service boundaries
Your organization remains responsible for the business purpose of the archive, retention and legal-hold decisions, access approvals, change authorization and the validity of software licences and third-party support contracts. Virtech performs agreed technical activities and coordinates dependencies with the named owners.
The service schedule identifies ownership of SQL administration, operating systems, Exchange, storage, networking, backups and disaster recovery. It also defines secure remote access, data handling, incident communications, maintenance approval and the division between routine work and separately scoped projects. This preserves a workable operating model when several suppliers support the same estate.

Frequently asked questions
Can Virtech manage an existing Enterprise Vault environment?
Yes. Onboarding establishes the inventory, health baseline, access, responsibilities and runbooks. Existing faults and remediation requirements are recorded before the ongoing service is accepted.
Is 24 hour support included?
24/7 support is available under eligible agreements. The service schedule specifies incident coverage, severity definitions, monitoring arrangements and routine administration hours.
Can support be delivered onsite in the UAE?
Yes. Onsite coverage is available across all UAE emirates. Covered P1 incidents have a two-hour onsite-attendance target under the applicable agreement and site-access conditions. Remote support is available across the GCC.
How is remote access controlled?
Access follows the customer’s approved method and permissions. During onboarding, we agree authentication, authorization, logging, data handling and how access is reviewed or revoked. Requirements must be confirmed before operational work starts.
Will Virtech still raise vendor cases when needed?
Yes. Product defects and issues requiring vendor engineering are escalated through the applicable entitlement. Virtech coordinates diagnostic evidence and follow-up while agreed incident communications continue.
Are upgrades and migrations included?
The agreement determines whether upgrade allowances or project services are included. Major changes require a supported plan, approved maintenance window and acceptance criteria. Additional work is scoped before execution.
Can our team continue to administer Enterprise Vault?
Yes. Shared administration is possible with agreed permissions, change records and ownership. Virtech can augment the internal team or assume a wider operational scope according to the service schedule.
What happens when the service ends?
The agreed transition plan covers runbooks, inventory, incident and change records, open risks, knowledge transfer and access removal. Ownership of reporting tools and other custom components is documented in the engagement.
