Privacy Policy

This policy explains how Virtech Software Trading LLC ("Virtech", "we", "us") handles personal data collected through the website www.virtech.ae (the "Website"). It covers the Website only. Personal data we process for customers while delivering support, managed or project services is governed by the agreement with each customer.

1. Who we are

We process personal data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and other applicable laws.

2. What we collect

Contact and health check requests. When you send the contact form we collect your name, email address, the topic of your request and any message you write, plus your company and phone number if you choose to give them. We also record the page you sent the form from.

Newsletter sign-ups and guide downloads. When you subscribe to our newsletter or request the Health Check Guide, we collect your email address.

Abuse protection. To protect our forms from spam, your IP address is used briefly for rate limiting. It is not stored with your request.

Chat assistant. If you use the AI assistant on the Website, the messages you type are sent to Anthropic, our AI provider, together with relevant excerpts from the Website, so that it can generate an answer. We do not store chat conversations. If you choose "Talk to a person", your name, the contact details you give and the recent chat are emailed to our team so we can reply. Please do not enter passwords or confidential information in the chat. To protect the assistant from automated abuse we use Cloudflare Turnstile, which checks that requests come from a real browser; its use is covered by Cloudflare's Turnstile Privacy Addendum.

Article hearts. If you tap the heart on a blog post, we add one to an anonymous counter for that post. No personal data is stored for this; your browser remembers on your own device that you liked the post, so you can undo it.

Website analytics. We use Cloudflare Web Analytics, a privacy-first service that counts page views and measures performance in aggregate. It does not use cookies, does not build profiles and does not identify individual visitors.

Server and security logs. Our hosting provider processes standard technical data (such as IP address, browser type and time of request) to deliver the Website securely and protect it from attacks.

We do not use advertising or tracking cookies, and we do not sell personal data.

We use trusted service providers who process data on our behalf, under contract, and only for the purposes above:

Some of these providers process data outside the UAE (for example in the United States or the European Union). Where this happens, we rely on the transfer mechanisms permitted under UAE law, including contractual safeguards with the provider.

We may also disclose personal data if required by law or by a competent authority. We do not share your data with other third parties for their own marketing.

5. How long we keep it

We keep enquiries for as long as needed to handle them and any resulting business relationship, and no longer than 3 years after our last contact unless the law requires a longer period. Newsletter sign-ups are kept until you unsubscribe. Security logs are kept for a short period by our hosting provider under its own policies.

6. Your rights

Subject to applicable law, you can ask us to access, correct or delete the personal data we hold about you, to restrict or object to its processing, and to stop sending you the newsletter. You can withdraw consent at any time without affecting processing already carried out. To exercise these rights, email office@virtech.ae. We will respond within the period required by law. You may also contact the UAE Data Office if you believe your rights have not been respected.

7. Security

We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS), strict security headers, access limited to authorised staff and secure handling of credentials.

8. Children

The Website is intended for business users and is not directed at children.

9. Changes to this policy

We may update this policy. The latest version will always be available on this page, with the date it was last updated.
