Moving to Microsoft 365? Give Your Email Archive a Plan

Mailbox migration plans usually identify users, batches and cutover dates. Historical archives can receive less attention until somebody asks how to open an old message after their mailbox moves.
That question is easier to answer before the migration.
An organisation using Enterprise Vault should plan both its historical content and any ongoing capture requirements alongside the Microsoft 365 project.
Decide what must remain accessible
Inventory the archives, their size, retention policies and ownership. Identify former employees, shared mailboxes and journal archives, as well as current users.
Agree which content must remain available, to whom and through which interface. Include legal hold and discovery requirements supplied by the relevant business teams.
A mailbox migration and an archive migration are different pieces of work. Moving the live mailbox does not automatically move every historical item, preserve every archive workflow or reproduce the existing permissions.
Design the future capture path
Where third-party journaling remains part of the approved design, consider the full delivery and monitoring arrangement. Microsoft documents that an Exchange Online mailbox cannot be the destination for Exchange Online journal reports.
That makes the receiving archive, external routing and handling of delivery failures important project decisions. Test representative messages and verify capture rather than relying only on the presence of a journal rule.
Microsoft 365 retention capabilities may meet some requirements. Compare the organisation’s actual retention, search and governance needs before deciding which existing archive functions to keep or change.
Make the user experience part of acceptance
Test the routes that users actually take to historical information. Can they retrieve older messages? What happens to existing shortcuts? What training or communication will they need?
For compliance teams, validate search, export and access to held content. For IT, define which environment remains responsible for historical data and who will support it after cutover.
A phased approach may be appropriate: move the mailboxes, preserve supported access to the existing archive and address historical migration through a separate, controlled project. Other environments may justify a combined programme.
