From backlog to under a second: re-engineering Enterprise Vault for a major Saudi bank

A major Saudi bank's 200 TB Enterprise Vault had outgrown its design. Archiving was falling behind and users couldn't open archived email. Virtech redesigned and expanded the platform in 2 months. Archived email now opens in under a second, with no backlog.

The challenge

With around 12,000 mailboxes and 200 TB of archived data, the bank's Enterprise Vault had simply outgrown its original design. The databases had become very large, the load was uneven, and performance kept getting worse:

  • Users couldn't reliably open archived email.
  • Archiving was very slow, and a backlog grew every day.
  • The whole platform felt sluggish.

For a bank that depends on its archive for daily work and for compliance, this couldn't continue. It needed more capacity, a balanced load and its performance back, without disrupting the business.

What we did

  1. Found the real causes. A full Enterprise Vault health check identified the problems: oversized databases, users spread unevenly and capacity limits.
  2. Redesigned for scale. We designed a new architecture with an additional Enterprise Vault cluster.
  3. Upgraded and expanded. We upgraded the environment and added new Enterprise Vault servers and storage.
  4. Balanced the load. We created new vault stores and moved users across them, so no single server carries too much.

The result

  • Archived email opens in under a second, almost instantly, and users no longer have trouble accessing it.
  • Zero archiving backlog. Archiving keeps up with incoming email every day.
  • Much faster performance across the whole 200 TB platform.
  • Done in 2 months, from health check to a fully expanded, load-balanced environment.
  • Ready for growth. The new design scales as the bank grows.
