"Enterprise Vault Is Unable to Retrieve This Archived Item": What to Check
By Virgil Dobos · · 3 min read

On this page
A user double-clicks a shortcut in Outlook and gets the message "Enterprise Vault is unable to retrieve this archived item". The item is still in the archive in most cases. What has failed is the route between the user, the client, the Enterprise Vault server and the storage that holds the item.
The fastest way to a fix is to narrow the scope before changing anything. This guide gives you the questions to ask, the evidence to collect and the likely causes for each pattern. It is a diagnostic guide, not authorisation to change a production archive. Check the current Arctera documentation for your exact Enterprise Vault version before you act.
First, establish the scope
| What you see | What it usually points to |
|---|---|
| One user, one item | The item, its shortcut or that user's access to it |
| One user, every item | The user's client, profile, permissions or network route |
| Many users, items from one period or archive | A Vault Store partition, its storage or an index |
| Everyone, every item | Server services, IIS, authentication, SQL or a recent change |
| Works in the web client but not in Outlook | The Outlook add-in, client configuration or Outlook security settings |
| Works on the corporate network but not remotely | Proxy, VPN, DNS or published URL configuration |
Test with a second, authorised account and a second machine. That single comparison usually tells you whether to look at the client or the server.
Evidence to collect before you change anything
- The exact error text, the time it occurred and the affected user and item.
- Whether the same item opens through the Enterprise Vault web search or archive explorer.
- The Enterprise Vault server event logs for the same time window.
- The Outlook add-in version and the Outlook build on the affected machine.
- Recent changes: Windows or Outlook updates, certificate renewals, storage moves, upgrades, password or service-account changes.
Do not delete or recreate shortcuts, move partitions or rebuild indexes as a first step. Those actions can make the original fault harder to find and can affect users who were not affected before.
Common causes, by layer
Client and add-in. An Outlook add-in that no longer matches the Outlook build or the server version, a disabled add-in after an Office update, or cached configuration that points at an old server name. See our guide to the Enterprise Vault Outlook add-in.
Authentication and the web route. Retrieval uses the Enterprise Vault web application. Certificate changes, authentication settings in IIS, proxy rules or a changed published URL can block retrieval while archiving continues normally.
Server services. Stopped or unhealthy Enterprise Vault services, a storage service that cannot reach its partitions, or a problem with the service account.
Storage. A Vault Store partition that is offline, moved, full, or no longer reachable on the path Enterprise Vault expects. Items archived in the affected period fail together, which is a useful clue.
SQL. Directory or Vault Store database availability problems can affect retrieval for many users at once.
When to call a specialist
Call for help early when many users are affected, when storage or SQL is involved, or when the archive supports a legal, regulatory or audit requirement. Retrieval failures across a whole partition can signal a storage problem that gets worse if it is not handled carefully.
Virtech's Enterprise Vault team supports organisations onsite across the UAE and remotely across the GCC. We diagnose retrieval, indexing, MSMQ and storage problems from evidence, and involve vendor engineering when a product defect needs it.
